  1. Start your search on Alibaba — Search your product type plus 'custom' or 'OEM'. Filter for Trade Assurance, Verified Suppliers, and look at their buyer ratings and order history.
  2. Look for factories that specialise in your product category — A factory that primarily makes water bottles will do a better job than a general merchandise factory offering 500 different product types.
  3. Check their export portfolio — Ask to see samples of similar products they've made for other clients. Reputable factories are happy to do this.
  4. Understand their minimum order quantities — Be upfront about your expected volume so they can advise whether you're a good fit.
  5. Request a pre-production sample — For anything with custom branding, always get a physical sample approved before mass production begins.

Getting Your Branding Right

  • Sea freight transit: 20–30 days
  • Air freight transit: 5–10 days

A simple rule of thumb: if your event is in December, your order should be placed by mid-September at the very latest for sea freight, or end of October if you're willing to pay for air.

Import Duties and GST

Most promotional merchandise categories attract low or zero import duty under the China-NZ FTA. However, you'll still pay GST (15%) on the total landed value, customs clearance fees (typically $100–$250 NZD), and port charges. Factor these into your landed cost calculation from the start so there are no surprises when your goods arrive. Even with these additional costs, you'll almost certainly still be well ahead of what you'd pay a local NZ promotional products distributor.
